Virginia Mental Health Access Program (VMAP) | Richmond, Virginia

The Virginia Mental Health Access Program (VMAP) is a statewide initiative that increases access and improves mental, behavioral, and emotional health and development by providing education, consultation, and care navigation to medical providers of infants, children, adolescents, young adults, and pregnant & postpartum people. MSVF is the Contract Administrator for VMAP and collaborates with the Department of Behavioral Health and Developmental Services, the Virginia Department of Health, and numerous other partners to oversee and administer the program at a statewide level.

The Medical Society of Virginia Foundation (MSVF) is seeking a Program & Events Coordinator. The Program & Events Coordinator works closely with the Sr. Director and is responsible for planning and executing all aspects of in-person and virtual events, conferences, and meetings for VMAP. This includes managing logistics such as travel, registration, venues, and materials. This role also supports internal leadership meetings, coordinates supplies and promotional items, and collaborates with marketing and vendors to ensure teams are equipped across the state.

Additionally, the coordinator maintains key program data, supports administrative needs, and represents VMAP at events and meetings. The coordinator works closely with the Sr. Director, regional hub, education, and marketing teams to ensure smooth operations across all VMAP initiatives. The successful candidate will show initiative and self-leadership, be collegial and work well with others, and can function in a dynamic and fast-paced environment.

Job Responsibilities:

Event & Meeting Management

  • Plan and manage all aspects of VMAP events, including registration, travel and accommodations, meals, event space, contracts, speaker coordination, staffing, and on-site support.
  • Coordinate and facilitate in-person and virtual events and meetings
  • Schedule and support Executive Committee, leadership, and internal VMAP team meetings; prepare materials and take meeting minutes as needed.
  • Send post-event materials and evaluations to attendees and track follow-up items.
  • Conduct research related to event venues, partners, educational resources, and logistics.

Conference & Travel Coordination

  • Manage registration and attendance for over 30 conferences annually.
  • Coordinate VMAP team travel, lodging, reimbursements, and logistical needs.
  • Communicate with VMAP staff (100+ members) to collect information such as t-shirt sizes, travel preferences, and schedule availability.

Supplies & Materials Oversight

  • Partner with Marketing to ensure all teams have updated materials, hub kits, and conference kits.
  • Manage ordering, organizing, and shipping of VMAP supplies, including promotional materials, giveaways and branded items.
  • Coordinate with vendors and partners for supply procurement and distribution.

Program & Administrative Support

  • Maintain updated state and national mental health statistics for use by the VMAP Sr. Director and ensure program materials reflect the most current data.
  • Represent VMAP at meetings and conferences as assigned.
  • Support with education programs meetings supplies, vendors, and food needs.
  • Support with other administrative duties and research projects as needed.
Required Qualifications

  • Bachelor’s degree in business or relevant field.
  • 3+ years experience in administrative or meeting planning work.
  • Excellent communication and writing skills required.
  • Ability to work effectively with multiple senior leaders.
  • Ability to communicate effectively and build lasting relationships.
  • Results oriented.
  • Strong work ethic with ability to exercise sound judgment.
  • Detail-oriented with strong organization skills.
  • Proven experience managing multiple, competing priorities.
  • Competent and proficient understanding of customer service platforms and tools including customer databases (Salesforce) and Microsoft Office tools (Outlook, Teams, Word, Excel, PowerPoint).
