The Virginia Mental Health Access Program (VMAP) is a statewide initiative that increases access and improves mental, behavioral, and emotional health and development by providing education, consultation, and care navigation to medical providers of infants, children, adolescents, young adults, and pregnant & postpartum people. MSVF is the Contract Administrator for VMAP and collaborates with the Department of Behavioral Health and Developmental Services, the Virginia Department of Health, and numerous other partners to oversee and administer the program at a statewide level.

The Medical Society of Virginia Foundation (MSVF) is seeking an Assistant Program Director. The Assistant Program Director will play a key role in supporting the daily operations, financial administration, and strategic priorities of the VMAP program. This dynamic role combines high-level executive support with financial and operational coordination, helping to streamline business functions and drive organizational effectiveness. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, mission-driven environment.

Key Responsibilities:

Business Operations & Financial Support

  • Partner with the Sr. Director in the management of the program’s contracting process, ensuring accuracy, compliance, and timely execution.
  • Manage invoicing, contracts, and payment processing in coordination with the finance and legal teams for a $15M program.
  • Assist with the development, tracking, and reconciliation of budgets and financial reports.
  • Collaborate with internal teams to ensure smooth operational and financial workflows.

Executive Support & Coordination

  • Prepare briefing materials, agendas, and follow-up communications for key meetings.
  • Serve as a liaison between the Senior Director and internal/external stakeholders.
  • Conduct background research and draft communications, talking points, and reports as needed.
  • Plan, coordinate, and execute leadership meetings and other programmatic initiatives.

Special Projects & Strategic Support

  • Conduct research and analysis to inform programmatic and strategic decisions.
  • Lead or assist on special projects, operational improvements, and new initiatives.
  • Serve as a trusted partner to the Senior Director, with potential to grow in leadership, responsibility, and strategic involvement over time.

Required Qualifications

  • Bachelor’s degree in business administration, public health, public policy, or a related field; Master’s degree a plus.
  • 5 -7 years of experience in executive support, program management, operations, finance, or project coordination.
  • Exceptional organizational, communication, and problem-solving skills.
  • Strong interpersonal skills and the ability to communicate clearly and professionally with a diverse set of partners and stakeholders.
  • Proficiency with budgeting, contracts, invoicing, and working with legal or financial systems.
  • High level of discretion and professionalism; able to handle sensitive information with care.
  • Strong attention to detail and ability to manage multiple priorities effectively.

Preferred Experience:

  • Experience in healthcare, nonprofit, or public sector environments.
  • Familiarity with state or federal funding processes and compliance.
  • A self-starter mindset and interest in growing into a strategic leadership role.
